1. Introduction
Kairo is a personal productivity app developed by Fulgid Software Solutions Pvt Ltd ("we", "our", or "us") that helps you manage tasks, meetings, emails, and calendar events in one place. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use Kairo at kairoos.co.
2. Information We Collect
We collect the following types of information:
- Account information: Phone number used to sign in via OTP.
- Google account data: When you connect Gmail or Google Calendar, we access your email messages (read-only) and calendar events to display them inside Kairo. We store OAuth tokens encrypted in our database.
- Microsoft account data: When you connect Outlook or Teams, we access your email, calendar, and the ability to create Teams meeting links.
- Zoom account data: When you connect Zoom, we create meeting links on your behalf using your Zoom account.
- Tasks, notes, and meetings: Content you create inside Kairo is stored in our database.
- Usage data: Basic analytics such as pages visited and features used.
3. How We Use Your Information
- To provide and operate the Kairo service
- To sync your Gmail inbox and display emails inside Kairo
- To sync your Google Calendar and Outlook calendar events
- To create Zoom and Microsoft Teams meeting links when scheduling meetings
- To send you reminders and notifications via WhatsApp (if connected)
- To improve and personalise your experience
4. Data Storage and Security
All OAuth access tokens and refresh tokens are encrypted at rest using AES-256 encryption before being stored in our database. We use industry-standard HTTPS/TLS for all data in transit. We do not store your Gmail or Outlook email content permanently — emails are fetched on demand and not cached long-term.
5. Data Sharing
We do not sell, trade, or rent your personal information to third parties. We share data only with the following service providers necessary to operate Kairo:
- Prisma / PostgreSQL — database storage
- Vercel — application hosting
- OpenRouter — AI features (prompts do not include your email content)
6. Google API Data
Kairo's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We only request Gmail read access to display your emails inside Kairo.
- We only request Calendar access to display and sync your events.
- We do not use Google data to serve advertisements.
- We do not allow humans to read your Gmail data except where required by law or with your explicit consent.
- We do not transfer Google user data to third parties except as necessary to provide the Kairo service.
7. Data Retention
We retain your data for as long as your account is active. You can disconnect any integration at any time from Settings → Integrations, which immediately deletes the associated OAuth tokens from our database. You can request full account deletion by contacting us.
8. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction or deletion of your data
- Disconnect any third-party integration at any time
- Request export of your Kairo data
9. Cookies
Kairo uses session cookies for authentication. We do not use third-party advertising or tracking cookies.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the effective date at the top of this page.
